ChatGPT for business: applications and safe use

ChatGPT for business is different from staff setting up their own accounts. A business plan gives you admin control, central billing and agreements about your data. This page covers the available plans, where ChatGPT helps by department, and how to set it up safely.

What can ChatGPT for business do?

On the Business and Enterprise plans, OpenAI states that training on input and output stays off by default (as of October 2026); Dave Willemstein advises Business or Enterprise for company data, not personal accounts. ChatGPT can confidently give a wrong answer; Dave Willemstein advises that a human stays responsible for checking anything that goes to a customer, a regulator or leadership.

ChatGPT is OpenAI’s AI assistant. For business, at its core it’s a writing, thinking and analysis partner that works in plain language: you ask a question or give an instruction, and you get back a piece of text, a summary, an analysis or a draft.

The business plans include more than the chat window. According to OpenAI’s pricing page (as of October 2026), ChatGPT Business includes, among other things:

  • Projects and shared projects, to keep documents and conversations together by topic.
  • Custom GPTs you share within your workspace, such as an assistant that drafts quotes in your house style.
  • Deep research, for more extensive research with sources.
  • Data analysis on files you upload, such as an Excel export.
  • Connectors with Google Workspace, Slack, GitHub and Microsoft 365 among others, and “company knowledge” to base answers on your own sources.
  • Codex and workspace agents for tasks that span several steps.

What ChatGPT isn’t: a system that automatically speaks the truth. It can confidently give a wrong answer, especially on facts, figures and citations. For anything that goes to a customer, a regulator or leadership, a human stays responsible for checking it. How ChatGPT compares to other tools is covered separately on this site.

Which ChatGPT for business plan offers European data residency?

ChatGPT Enterprise, for new workspaces (EEA and Switzerland); ChatGPT Business has no European data residency (as of October 2026). On ChatGPT for business, data that goes to external services through connectors or web searches isn't covered by that, according to OpenAI.

Is a personal account suitable for company data on ChatGPT for business?

No, for company data on ChatGPT for business the rule is: Business or Enterprise, not personal accounts. For Business and Enterprise, a data processing agreement with OpenAI can also be signed.

Business plans

OpenAI offers personal plans (Free, Go, Plus and Pro) and business plans (Business and Enterprise). ChatGPT Business was called ChatGPT Team until 29 August 2025; anyone still referring to “ChatGPT Team” means the same plan. The overview, as of October 2026:

ChatGPT BusinessChatGPT Enterprise
For whomTeams from 2 users, self-service sign-upLarger organisations, through sales
PriceStandard seat $20 per user per month on annual billing, $25 on monthly billing. Premium seat (five times more usage) $100 or $125On request
Training on your dataNot by defaultNot by default
Admin controlsAdmin console, admin roles, SAML SSO, domain verificationPlus SCIM, role-based access, IP allowlisting, compliance API and custom retention periods
European data residencyNoYes, for new Enterprise workspaces (EEA and Switzerland)

Prices are US list prices, exclusive of VAT; OpenAI states that prices can vary by country and currency. A Business plan doesn’t include API usage, which OpenAI bills separately.

My rule of thumb: Business suits an organisation that wants to get started quickly and under control. Enterprise becomes worthwhile once you need European data residency, want to manage users automatically through your identity system, or need to set your own retention periods. If your organisation already uses Microsoft 365 or Google Workspace, also compare against the AI built into those: Microsoft Copilot or Gemini for business. And anyone torn between assistants should also read about Claude for business.

Applications by department

The best applications are tasks that recur often, involve a lot of text, and where a staff member can quickly check the result. A few examples by department:

  • Sales: a first draft of a quote or proposal based on call notes, or a summary of what you know about a prospect before you call.
  • Marketing: variants of a text for different channels, working out a content plan, or turning a long whitepaper into a short blog post.
  • Customer service: draft replies based on your own procedures, and summarising long customer records for a colleague taking over.
  • HR: job adverts, onboarding materials and a first draft of a policy document. Decisions about applicants aren’t left to ChatGPT.
  • Finance: analysing an export, flagging discrepancies and drafting an explanation in plain language. You check the figures themselves at the source.
  • Management: summarising meeting papers, reviewing a decision from several angles, or sharpening a difficult email.

The difference between a handy trick and real time savings sits in the working process. If one staff member prompts cleverly, it stays with that person. If a team agrees on standard tasks and shared GPTs, it becomes a way of working. A ChatGPT training session for your team helps build that together, and the basics of good prompts are covered separately on this site.

Privacy and security

This is where ChatGPT for business usually goes wrong: not the tool, but the accounts. On personal plans, OpenAI can use your conversations to improve its models, unless the user turns that off themselves via the “Improve the model for everyone” setting. If a staff member puts customer data into a personal account, your organisation has no visibility or control over that.

On ChatGPT Business and Enterprise, OpenAI states that it doesn’t use input and output for training by default. For Business and Enterprise you can also sign a data processing agreement (DPA) with OpenAI, which you need under data protection law once personal data is involved. As of October 2026.

A few points to watch during set-up:

  • Data residency. If your data needs to stay in Europe, that’s possible on ChatGPT Enterprise for new workspaces (EEA and Switzerland). Note: data that goes to external services through connectors or web searches isn’t covered by that, according to OpenAI.
  • Connectors. Every connector to another system widens what ChatGPT can see. Only allow what you need, and record who’s allowed to turn on a new connector.
  • Feedback. Even on personal accounts with training turned off: giving an answer a thumbs up or down, according to OpenAI, lets it use that entire conversation to train models.
  • Shadow use. A business plan only works if staff actually use it. Make the approved route easier than going it alone.

Set this out in a short internal AI policy; how to set one up without a thick handbook is covered separately on this site. If you also use ChatGPT for tasks where it acts on its own, also look at AI agents and data protection law.
